Job Description: 

Provides assistance in support for The Journey Home Life Skills Program, including fundraising, budgeting, and community outreach. Schedules meetings or special events and answers questions from the community or donors. Assists in the creation of promotional materials or solicitations/informational mailings. Generates reports detailing the status of programs or projects. May coordinate volunteer schedules or trainings. Familiar with standard concepts, practices, and procedures within a particular field. Relies on experience and judgment to plan and accomplish goals. Performs a variety of tasks. Works under general supervision. A certain degree of creativity and latitude is required.

REPORTS TO: Community Resource Worker

Skills and Qualities Required: 

QUALIFICATIONS
• High School Diploma
• Office Administration Diploma or Certificate
• Experience with Microsoft Word, Excel, PowerPoint and data base systems
• Basic Bookkeeping Experience
• Minimum 2 years’ experience in the non-profit sector
• Driver’s Licence and access to reliable car
• Ability to work outside of regular office hours
• Criminal Record Check for the Vulnerable Sector
• Social Media and Web Experience is an asset

Duties and Responsibilities: 

KEY RESPONSBILITIES
• Maintains confidential records for the program
• Acts as the main contact person for the Journey Home Life Skills Training Program during the absence of team members, following-up on any emergencies with appropriate in-house staff, and sharing workload with team members from other teams;
• Assists other team members in preparing and formatting documents, including PowerPoint presentations;
• Develops and maintains an efficient filing system for the program including assistance in processing calls for referrals
• Maintains a tracking system of referrals
• Maintains and updates program databases and mailing lists using the Microsoft Office Suite including Word, Excel, PowerPoint
• Coordinates proofreading and editing of documents as required;
• Takes minutes of regular team meetings and other meetings with the assistances of and coordination with the Housing Navigator as required
• Assists to maintain and update the Program’s web site and social media
• Provides assistance to team members for data collection and reporting
• Assists in the process by tracking participants’ completion for the programs, scheduling interviews as necessary to collect feedback and outcomes tracking data
• Liaises with HSLS head office staff as required, and provides assistance to HSLS head office administration staff when required.
• Works with team members to coordinate work activities, meet deadlines, and provide support where needed; and
Workshops and Events
• Liaises with members of other host organizations to coordinate logistical arrangements for workshops that take place at partner agencies or in community facilities
• Liaises outside agencies regarding venue, room organization and set up and logistics;
• Liaises with and assists project participants and facilitators as required to ensure smooth functioning of activities;
• Coordinates and disseminates all internal and external material, including marketing material and coordinates appropriate mailings or distribution;
• Prepares training kits or information packages
• Coordinates registration process and acts as contact person for the participants.
