Job Description: 

Seniors First BC Society (SFBC) is a not-for-profit organization which provides services to older adults, including legal services for those who are in need of legal assistance or who are vulnerable to abuse and cannot afford to hire a lawyer. We are looking for an enthusiastic and dynamic person to join the team as Legal Administrative Assistant.

Skills and Qualities Required: 

• At least three (3) years of experience as a legal administrative
assistant
• Familiar with office management procedures and protocols
• Proficiency in the use of social media, Microsoft Word, Excel and Power
Point
• Effective communication skills both orally and in writing

• Answering the telephone courteously and in a polite and compassionate
manner
• High level of patience and integrity
• Problem solving skills
• Ability to multi task and set priorities
• Excellent English communications skills both verbal and written and
detail oriented
• Must be able to follow instructions and work with minimal supervision
• Discretion and confidentiality
• Creative and excellent organizational skills

Duties and Responsibilities: 

• Prepare and revise basic legal documents as instructed by Lawyers
• Enter contact details into IMP system and open physical legal files as necessary or instructed by the lawyers
• Client management, answers the telephone and provides information
• Management of a bring forward system
• Booking appointments for the legal clinics
• Pull monthly reports and statistics from reporting site and submits them on a timely timely fashion
• Maintain and update the office management manual
• Coordinate and assist contractors such as telephone providers, IT technical support, bookkeeper and accountant
• Staff administrative support including processing new hires paperwork
• Prepare schedules for the legal clinics
• Review and process all required documentation and performs day to day administrative duties for the organization
• Coordinate the maintenance of office and facility supplies, such as printers, computers and any other office equipment
• Any other activities related to the position as assigned by the lawyers of the legal clinic or the Executive Director
